Privatelandlord are fully registered with the rental Industry's two leading governing bodies – The Institute of Estate Agents and  The Estate Agents Affairs Board and operate strictly in accordance with the rental housing Act. 1999(Act 50 of 1999). All deposits are held in the Privatelandlord Trust account which is conducted in accordance with section 32(1) of the Estate Agents Affairs Act,112/1976, and is audited annually. Registered members must adhere to stringent codes of conduct. This is your guarantee of high standards of business practice and ensures that your money and what is probably your greatest asset, your property, is safe.


Privatelandlord Tenant Screener
  • Provide the Tenant with the Privatelandlord application form.
  • Collect supporting documentation from the tenant – bank statements, salary slips, copies of ID’S, copies of utility bills and references.
  • Process the application form – verify all supporting documentation and do credit checks and TPN checks.
  • Inform the Landlord of our findings and make recommendations.
  • Negotiate the terms of the lease on your behalf.
  • Draw up the lease agreement.
  • Explain the terms of the lease agreement to the Tenant and obtain signatures.
  • Collect all monies on the Landlords behalf – first month’s rental and damage deposit.
  • Get Tenant to set up stop order to Landlords bank account.
  • Provide Landlord with inspection form.
  • Provide comprehensive statements to both the Landlord and Tenant.

At a cost of only 3.5% of the lease agreement (min. R1800), the Privatelandlord Tenant Screener is the most cost effective product of its kind.
If  the landlord would like us to conduct the incoming inspection (area related service) we can do so for a further 1% (min R700.00) unfurnished and 2%(min R1400.00) for furnished property.

  • Arrange and accompany all tenant viewings.
  • Constant feedback on viewings.
  • Processing of tenant  applications.
  • Reference checks - contact current and previous employers, landlords and banking  institutions, obtain current salary slips, bank statements and landlord references.
  • Credit checks - reveals any judgments for bad debt, rental default, credit agreement information, present and previous employment, I.D. verification, current income and debt levels etc.
  • TPN checks - records instances of late or non-payment of rent, treatment of landlord’s property, anti-social behavior, criminal record, bank account check etc.
  • Signing of the comprehensive, legally binding Privatelandlord lease agreement by the tenant.
  • Conduct detailed incoming inspection - including digital images of interior and exterior of the property.
  • Ensure full payment of deposit.
  • Collect first month’s rental.
  • Forward landlords banking details to tenant and ensure stop-order for monthly rental set-up from tenant to landlord’s bank account.
  • Ensure all monies due to the landlord are cleared and paid out to the landlord timeously.
  • Provide a full statement to both the landlord and the tenant.

  • Collect full rental and all other monies due by the tenant on a monthly basis.
  • Ensure all monies collected are paid over to the landlord immediately.
  • Provide monthly statements to both landlord and tenant.
  • Conduct quarterly inspections on the property throughout the period of the lease (every 3 months)
  • Instruct tenant to immediately make good any damages noted during quarterly inspections.
  • Carry out emergency repairs that might cause serious damage to the property if left unattended.
  • Arrange and oversee any necessary repairs and maintenance.
  • Arrange and advise on maintenance and cleaning.
  • Arrange any additional services requested by landlord (garden service, pool service etc.)
  • Attend to all landlord and tenant queries
  • Institute legal proceedings if necessary (with landlord’s permission)
  • Pay from rental all property related expenses on behalf of landlord (levies, utility bills, insurance, rates etc.) at landlords request.
  • Send out lease renewal notices.
  • Arrange addendum to the lease to be signed by tenant should they choose to extend the tenancy (with landlords approval)
  • Facilitate any annual rent increases.
  • Conduct out-going inspection should the tenant vacate the property at the end of the lease period.
  • Assess cost of damages (if any). Organise any repairs or replacements and deduct costs from tenant’s deposit.
  • Constant communication with landlord regarding any instances or issues that may require immediate, decisive action.
  • Constant support and advice - every step of the way.
