Zygote Property Management’s Transition Plan
Before the actual starting date of a contract, Zygote Properties has a great deal of work to do to ensure that
the change in management is smooth, efficient and effective for your gated community. Our Transition Plan, as outlined below, is generally a 30-day process during which the Trustees are continually updated on our progress.
Assemble Transition Team
At least one month prior to the beginning of our management term (depending on the appointment date), we appoint staff members to work exclusively on the operations and administrative transition for your community. One of these members generally becomes the portfolio manager for your Sectional Title or Homeowners Association. If it is necessary to hire new personnel, our Transition Team remains intact until such new personnel are completely familiar with your community and able to carry out all duties to the satisfaction of the Trustees. The Transition Team has available to them the support of Zygote Properties administrative staff.
Evaluate Current Management and Operational Procedures
The first job of the Transition Team is to identify your community-specific needs and to evaluate the proficiency with which they are being met. The input of Trustees and community members is invaluable in helping us to determine the requirements, expectations and overall satisfaction of the community. We examine existing procedures and put to work our expertise to pinpoint areas that need modification or improvement.
Establish Necessary Procedural Changes or Improvements
Along with its Evaluation Report, the Transition Team will formulate a plan for modification and
improvement that is reviewed by Zygote Properties executive members and presented to the Board. We recognise existing procedures that are working well - those we leave in place. Zygote Properties is not an "our way or no way" company. Our goal is not necessarily to change but to improve management service to your community.
Review Records, Contracts and Documents
The Transition Team examines the Body Corporate/Association's records, contracts and documents to ensure that outstanding items are given attention, agreements are complied with, deadlines or expiration dates are not overlooked and that all provisions within the community Documents are adhered to.
Coordinate On-Site Operations with Administrations
Our administrative staff carries out a large amount of work for your Sectional Title or Homeowners
Association. They handle billing, collections, accounts payable, financial reporting, special correspondence and other functions as needed. Our administrative personnel must be as familiar with your on-site operations as is the on-site staff. This not only assures smoother operations but also creates a safety network that can meet with crisis situations. This coordination requires a great deal of planning, cooperation and communications. It requires: informing our administrative staff of your community-specific needs and concerns, establishing clear communications
between the on-site and administrative staff, assigning at least one administrative staff member as liaison for the on-site team, establishing quick access to records and information, creating both hard copy and computer files for every unit owner, and developing and scheduling procedures in our administrative office that will allow the operation of your community to flow smoothly and routinely.

At Zygote Properties, the accountants, administrative personnel and the principals all come together to manage as a team. This type of management ensures the highest level of service.
The Zygote Port Folio Account Manager assigned to your property is responsible for all facets of your building's ongoing and long-term operations. Expertly knowledgeable, your Port Folio Account Manager will proactively bring to the Board of Trustees matters that require discussion and decision while attending on a daily basis to all, staff matters, legal and regulatory issues, interactions with your property's outside rofessionals, and owner and resident inquiries and requests. Furthermore, our Maintenance Department is dedicated to ensuring that your maintenance issues are dealt with as priority as they should be. Your Zygote Port Folio Account Manager will attend scheduled Board and committee meetings when required to participate and provide professional input and advice, if so required. Supported by the Zygote Properties Accounting Department, your Account Executive also will provide a comprehensive monthly
Management Report - including a detailed Financial Report - in advance of each Board meeting.
