An overview of our Business Design, Development and Implementation History includes the following solutions:

1. Job costing, Plant and Fleet Maintenance

Bertie van Zyl (Pty) Ltd (trading as ZZ2) is the biggest distributor of tomatoes in South Africa.

We have implemented Accpac ERP with Technisoft Service Manager and D-Bit Fixed Assets. They use Service Manager for accurately calculating and managing costs for maintaining their fleet of trucks, farming implements and farm land.

The fleet of vehicles are serviced on planned maintenance schedules (created using preconfigured templates of consumables and spares and standard labour hours in order to track usage and productivity) by technicians that have been assigned to these services based on their specific skill levels and availability (using Service Manager’s integrated resource scheduling Job Manager tool).

We have developed an integrated solution that creates appropriate General Ledger accounts for project costing purposes, simultaneously creating the equipment items for maintenance purposes in Service Manager as well as creating the asset in the Asset Register for depreciation purposes. The movement of assets from site to site are automatically updated in the asset register from a single point of entry together with the necessary reallocation of General Ledger accounts for transactional and audit history.

2. Job Costing and Project Management

Armscor Business consists of 16 different divisions, all created using their own individual Accpac company database. They use Accpac as an integrated financial solution.

We have implemented Service Manager in 2 of their divisions, Ergotech and Gerotech, to provide these business units with a management information system for project management and job costing purposes that integrates seamlessly with their Accpac financial accounting system.

3. Disbursement Control with Work-In-Process Processing

Manica Africa is a freight forwarding company that carries freight through Africa.

They are using Service Manager, together with Accpac’s financial modules, as an integrated solution for managing disbursements and reimbursements of expenses on behalf of their customers with regards to moving freight, customs clearing, warehousing and transport. Revenue and expenditure are accurately accounted for using Service Manager’s unique work-in-process accounting principles.

4. Job Costing and Customer Care (1)

Total Hygiene is a Servest company and provides washroom, deep clean and pest control services.

Contracts are loaded in Service Manager for recurring billing purposes based on installed equipment at the customer’s premises. Scheduled recurring worksheets are then used for planned periodic services. Resources are assigned to due worksheets as well as new installations and removals. Stock forecast reports are generated based on the recurring service schedules to ensure that no out-of-stock situations occur.

A following phase of the implementation will include the introduction of Service Manager’s mobile functionality on Windows Mobile enabled PDA’s for managing of stock in vans, updating job statuses and proof of delivery. The entire system will then be “shrink wrapped” using Accpac’s web enabled CRM solution to add business automated processes for managing and driving business processes via workflow, e-mail and/or SMS notification and escalation.

5. Job Costing and Customer Care (2)

Micros SA provides solutions to manage the operational requirements associated with the hospitality and specialty retail industries which includes table and quick service restaurants, hotels, the leisure and entertainment industry, golf resorts and sports stadiums. Their support extends throughout southern and sub Saharan Africa. Their customers include Sun International, Southern Sun, Hilton, Hyatt, Cape Grace, Mugg and Bean, Arabella Grand Sheraton, Fancourt, Indaba Hotel, Michelangelo Hotel, Three Cities, Cresta Hotels, Wimpy and Kentucky Fried Chicken to name a few.

Using Accpac CRM, they operate a 24/7 call centre and field personnel offering support services to their current install base in excess of 2500 restaurants and 500 hotels and every casino in South Africa. Calls are prioritised based on service levels and a custom CRM page shows the priority of calls as well as whether or not Service Level Agreements are in danger of being breached.

Service Manager is used for new installations, repairs and maintenance jobs, resource assignments, warranty tracking, return to manufacturer authorizations and recurring annual licensing billing.

6. Job Costing and Customer Care (3)

ATIO Corporation implements telephony hardware and manages the quality of service for the cellular network service providers.

They use Accpac CRM integrated to Accpac financials and Service Manager for sales force automation and after sales customer support. Equipment is sold via Service Manager based on approved quotations. Resources are assigned to do implementations and servicing. After sales support is managed through the integrated CRM call centre functionality and the job costing functionality of Service Manager. Electronic approval processes are also managed using AccTech eWorkflow for procurement, receipting and invoicing of stock, capex and sundry items and services.

7. Job Costing and Municipal Charges Billing

Twin City Development manages the rental billing and collections, municipal charges billing and collection and servicing and maintenance of shopping centres.

Electricity and water meter readings are captured into Service Manager via the PDA meter reading utility to keep track of average usage. These readings are used to calculate water and electricity charges per municipality on a customised MS Excel based utility that has been specifically developed for calculations of municipal charges. Electricity and water together with additional municipal charges like refuse removal and sewerage as well as monthly rental amounts are then transferred into Service Manager Meter Agreements for recurring billing purposes.

Repairs and maintenance are also managed via the Service Manager Job Costing capabilities.

8. Plant and Fleet Maintenance

Black empowered construction materials manufacturer Afrimat Limited is listed in the ‘Construction & Building Materials’ sector of the Main Board JSE Limited. Afrimat operates through three key divisions namely aggregates, concrete manufactured products and readymix concrete.

They use the WinBridge system for their weighbridge solution at each of their mining operations for weighing crushed rock before transporting the rock to their customers. This system is integrated with Accpac Accounts Receivable for billing purposes. Service Manager will be used for maintaining their extensive fleet of mining vehicles and equipment. Service Manager also tracks maintenance and running costs of mining plants.

9. Transport and Route Planning and Scheduling

We have developed a transport solution with customised route planning and scheduling functionality integrating Accpac CRM with Service Manager to manage long haul, short haul, courier and shuttle transport. The solution offers a wide spectrum ERP system that caters for satellite navigation, route optimization, integration to the new Aarto public traffic penalty system as well as the added value of fleet maintenance integration and call centre functionality.
